1. Who we are

Village Keepsakes is operated by the business identified below. This policy covers this website, customer communications, orders, and photo processing. It describes our current practices, not a guarantee that any system is perfectly secure.

2. Information we receive

We receive information you provide for an order or inquiry, such as name, email, shipping and billing addresses, selected package, correspondence, and order status. Stripe collects payment information and provides transaction details to us. This website does not collect or store full payment-card numbers. Photographs you submit, including people, writing, and other visible details, are information we process to fulfill the order.

Our hosting provider may process standard technical logs such as IP address, request time, requested page, browser information, and errors for operation and security. This website does not include an advertising pixel, visitor analytics, a customer account system, or a photo-upload feature.

3. How we use information

We use information to accept and fulfill orders, ship materials, communicate with you, provide support, correct errors, prevent fraud, secure the service, maintain business records, and comply with legal obligations. Photo content is used to perform your requested digitization. We do not sell or rent customer information, or share it for cross-context behavioral advertising. We do not use customer photographs for marketing or AI training without separate permission.

4. Providers and disclosures

We share information only as needed with payment processors such as Stripe, shipping carriers, website and email providers, professional advisers, and providers necessary to deliver the service. Carriers receive shipping and contact information, not permission to use your photographs. We may disclose information when required by law, to respond to lawful process, or to protect legal rights and security. If the business is transferred, information may transfer subject to applicable law and appropriate notice. We will request separate permission before sending photo content to an external AI provider.

5. Information retention

We may retain digital copies of your photographs and related working files after your order is completed to support customer assistance, corrections, order records, security, and legal obligations. Retention periods depend on the information, the purposes for which it is held, applicable requirements, and any requests you make under this policy. We periodically review retained information and limit access to those who need it for these purposes. Please keep your own backup of the files delivered to you.

Order, consent, transaction, and related accounting records may be retained for up to 7 years, or longer where required by law or a documented dispute. Routine inquiries are retained only as needed for support and legitimate records. Hosting security logs follow the hosting provider’s operational retention settings. We return physical originals as part of the service rather than retaining them as an archive.

6. Cookies and local storage

The site uses a first-party session cookie on the order review page to protect the form against forged requests. It contains signed session data, not your photos or card information. The package selector operates in your browser and does not use advertising storage. Stripe uses its own cookies and similar technologies on its hosted checkout for payment, security, and features you choose. We will update this policy and implement appropriate choices before introducing advertising tracking.

7. Your choices and requests

Email chris@villagekeepsakes.com to ask about, access, correct, or request deletion of information associated with you, or to raise a privacy concern. Depending on where you live and whether relevant laws apply to the business, you may have additional access, portability, objection, opt-out, appeal, or deletion rights. We honor applicable rights and may need to verify identity. Some records must be retained to complete an order, meet legal obligations, or address a dispute. We will not discriminate for exercising a legally protected privacy right.

8. Security and children

We use reasonable administrative and technical safeguards, limit access to information needed for service, and use Stripe-hosted checkout. No transmission, physical shipment, or storage method is completely secure. The service is intended for adults placing orders; the website is not directed to children under 13. Historical photographs may depict children, but we do not ask children to submit information or create accounts. Contact us if you believe a child has directly submitted personal information.

9. Policy changes

We may update this policy as our operations change. We will post the updated date and provide additional notice or request consent when required. We will not apply a materially different use of previously collected photo content without an appropriate legal basis and any required consent.
